Department Shared Folders
Department shared folders are a secure and convenient way for members of a department to save and share documents and other files. Your account permissions determine what folders are accessible to you. Anything that you don't have access to will not be visible.
Access to the department shared folders is done through a mapped network “S” drive titled Department_Shares. This network drive is automatically added to your account at login from any Town computer.
How to Access
There a number of ways to access the department network share folder. Here are a few:
- Right click on the Start button, then click "File Explorer".
- Click on the File Explorer icon in the Windows taskbar
- In the Windows taskbar search field, enter "File Explorer" and then select File Explorer.
Important Things to Know
Never put personal documents, photos or other files on department shares
Any files that are detected as infected and/or malicious will be deleted
Deleting files from department shared folders will immediately delete the file. It does not go into a recycling bin. To recover deleted files, please reach out to the IT department as soon as possible.
Limitations of the Department Shared Folders
All documents and other files under the department shares are stored on the Town's local servers. The only way to access these files is by using a Town computer connected to the Town network. Most laptops have VPN access and facilitate connection to the Town network from offsite locations using internet access.
In most cases, more than one person can access a file at the same time but only one may edit the file. If multiple people need to be able to open a file for editing, consider storing the file in your department's Team or SharePoint site.
